Video Conferencing Etiquette

A virtual meeting is a tool for people to connect with each other and it has now become a staple in our day-to-day basis. With a simple click of a button or link, you are able to carry out tasks such as online meetings, conference calls, sales calls and so forth. However, there is some important etiquette to take note of when it comes to business virtual meetings.
- Be Punctual
As you are able to attend your meetings from anywhere, it is still crucial for you that you should be on time for your scheduled meetings. Similarly to physical meetings, troubles that get along the way such as traffic or any other errands should not be the excuse to attend the meeting late. Always plan ahead and be ready to ensure that your internet connection is stable along with your computer before the meeting starts. - Keep down distractions
Distractions might be the most important impact on a video conference. Many may scroll through their phone or do other activities on another screen even though the people in the virtual meetings will not notice it. However, by being distracted, the organizer will have to repeat the information that has been already shared and the meeting will take up longer than the expected time. - Make someone a co-host
Sometimes there might be technical errors or even situations where you’ll need to leave the meeting. If you are the host of the virtual meeting, it is better if you made someone else the co-host so that when there’s any situation you have to leave, the meeting can still go on. - Muting
When you forget to mute yourself when you have nothing to say, it is possible that others will hear echoes or other background noises from your microphone. It allows other participants to share their thoughts without distractions and save them from frustration. - Stay present
It may be hard to resist the urge to do other work during an online meeting. Doing work while in a meeting may result in you missing out on some of the key information or even an opportunity to give your input. If your webcam is open, do not let your eyes wander off too much.
Digitalization has changed the face of meetings. Everyone should utilize proper etiquette in online meetings to ensure all participants are clear and informed with the details being discussed and allowing the experience to be smooth for all.
